Managing Multiple Children

Switching between children when several are linked to your account

If you have more than one child at the same institution — and all of them are linked to your parent account in OptiCRM — you'll see a child selector at the top of your parent dashboard. This page explains how the selector works and how child linkages are managed.

The child selector

When you have two or more linked children, the parent dashboard header includes a dropdown labelled Viewing. The dropdown lists every linked child with their name, class, and section.

Pick a child and the rest of the dashboard refreshes to show that child's data — courses, grades, upcoming work, attendance, certificates. The selection is per-page-load (it doesn't persist across visits), so you'll need to pick again next time. The primary-linked child (the one your school admin marked as primary) is selected by default.

If you have only one linked child, the selector is replaced with a simple read-only header showing the child's name, class, and section.

On mobile

In the mobile app, the Children tab in the bottom nav is your home for switching. It lists all linked children as cards — tap a card to drill into that child's detail screen. From the detail screen, use the back button to return to the list and pick a different child.

How linkages are managed

This is the important bit: you can't add or remove children from your account yourself. Linkages are managed by your school's administrator in OptiCRM, not by you in OptiLearn.

If a child should be linked to your account but isn't, or one is incorrectly linked, contact your school's admin office. They can:

  • Add a child to your parent record
  • Remove a child (e.g. when a sibling moves to a different school)
  • Change the primary-child designation
  • Update the relationship type (mother, father, guardian, etc.)
  • Update your name, phone, or email on the parent record itself

Once an admin makes a change in OptiCRM, your OptiLearn parent portal reflects it on the next page load — usually within a minute or two.

Note

This separation is intentional. Schools need to verify family relationships before granting parent access — having that flow run through the admin office prevents accidental or malicious linkages.

Notifications for multiple children

When you have multiple children, every notification clearly identifies which child it's about. The title and message both include the child's name, so a "Child graded" alert will say "Aanya's assignment has been graded" rather than just "Your child's assignment has been graded".

The weekly progress digest covers all of your linked children in one email, with a separate section for each child.

Tips

  • Verify your linkages once a year. Especially at the start of an academic year, double-check that every child you expect to see is in your selector.
  • Ask for primary-child to match your usage. If you check on one child more than the others, ask your admin to mark that one primary so the dashboard defaults to them.
  • Keep your contact info current with the admin office. If your email or phone changes, ask them to update OptiCRM — notifications go to whatever's on file.
  • Don't share your login. If both parents need access, ask the admin office to set up a second parent account linked to the same children.

What happens if a child changes school

If your child leaves the institution, the admin office will typically remove them from your parent record. Their courses, grades, and certificates are preserved on their own student account but stop appearing on your parent dashboard.

If your child is transferring to a different campus that uses OptiLearn, the admin offices coordinate to migrate them — your parent linkage may need to be re-created on the new campus.
